Service terms

Effective 2026-10-20

Service and agreement

The seller identified in our legal information provides BidCanopy. These terms apply when you use it. Paid subscriptions are for business use by an authorised representative of a supplier organisation. By subscribing you confirm that authority. Your plan, price, tax breakdown and monthly renewal are shown before payment. Keep your sign-in secure.

Your content and our service

You retain ownership of your documents and records and grant permission to process them to provide, secure and support the functions you request. Only upload content you are authorised to share. Personal data is governed by our data processing terms. Do not access another account, infringe rights, upload unlawful content or abuse the service. You receive a non-exclusive right to use the software during your plan; this does not transfer ownership of the software.

Human review remains essential

AI and extraction may omit, misread or invent information. Check the complete tender, amendments, prices, evidence and citations before using a report. Reports do not certify compliance, give legal advice, submit a bid, promise an award or authorise payment. You remain responsible for buyer communications, final approvals and submissions. Public feeds can be incomplete, delayed or unavailable.

Plans, credits and limits

Free accounts include manual workspace tools and three starter AI credits per UTC month. Supplier includes 100 credits; Growth includes 400. Standard reviews and transcription use one credit; detailed reviews and bounded voice questions three; learning illustrations five. Credits reset on the first UTC day of each calendar month, without rollover or cash value. Daily credit limits are 3 Free, 30 Supplier and 60 Growth. A provider attempt may consume credits even if it fails. Contact support for a review of credits lost to a service error.

Plans cover one private supplier account. Files are limited to 10 MB each and 100 MB total, with 200 original files, 100 extracted sources and 500 reports. A review accepts up to 12 sources and 65,000 extracted characters; voice questions accept 16,000 source characters and 30 seconds of recorded audio. ZIP restoration is limited to 20 MB. Export your data before removing older content. Team sharing, human review services, hosted extended reviews and experimental live conversations are not included.

Prices, renewal and cancellation

Monthly prices are in GBP and include applicable VAT. Stripe calculates tax using your billing location and tax details. Supplier is £79 per month and Growth is £199 per month. Subscriptions begin after successful payment and renew monthly until cancelled. No minimum term extends beyond the current paid billing period. Cancel renewal through Account & billing or the customer portal. Access continues to the paid period end; failed or overdue payment suspends paid AI allowances while your free workspace remains available. Deleting your account cancels the subscription immediately. Cancellation does not itself create a refund.

Refunds and service failures

Tell support promptly about duplicate charges, unauthorised payments or a substantial service failure. We investigate and, where appropriate, restore credits, correct the problem or refund the affected payment through Stripe. We do not promise a procurement outcome or provide automatic refunds for unused credits or a change of mind after a business subscription begins. Applicable statutory rights remain unaffected. See support and refunds.

Changes, suspension and ending service

We may maintain or improve the service. We will give at least 30 days’ notice of a subscription price increase or material reduction in included functionality, using the account contact or an in-service notice before renewal. You may cancel before it applies. We may suspend access to prevent abuse, non-payment, security incidents or unlawful use and explain where lawful. If we permanently withdraw a paid service before its paid period ends without your breach, we refund the unused portion. Export or delete content using the account controls.

Responsibility and governing law

We use reasonable care and skill to provide the service. Subject to liabilities that cannot lawfully be limited, our total liability arising from the service is limited to the greater of £100 or the fees you paid for the affected service in the preceding 12 months. We are not liable for indirect loss or lost profit, opportunity, bid award or revenue. Nothing excludes fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or mandatory statutory rights. English law governs this business agreement and the courts of England and Wales have jurisdiction. Contact support first to try to resolve a dispute.
